Using Express Registration for Event Entry

If you want to quickly secure your entries into events which may fill quickly, or you haven't yet confirmed your team rosters at the start of the season, this is an option that allows you to enter numbers only (no athlete data) as placeholders for your entry.

NOTE FOR THE 2026 SEASON EVENTS, EXPRESS REGISTRATION WILL BE AVAILABLE ONLY UNTIL 30TH SEPTEMBER 2025. YOU MUST ENTER YOUR EXPRESS TEAMS PRIOR TO THAT DATE TO USE THIS OPTION.

Step 1:

Via the left hand menu on RegChamp, navigate to the 'Teams & Specialties' page. On that page, click the button '+Create Express Team without Roster'.

Complete the form adding:

  • Team Name
  • Type (for the division, e.g. IASF, Novice, Dance, etc)
  • TOTAL number of athletes
  • Number of Male athletes (included in above total number)
  • Number of Crossover athletes (included in above total number)
  • If applicable, select which team the athletes crossover to (You can only select one, if there is more than one, just select one of them. Don't mark crossovers on both teams - pick one team to be the 'home' team, which shows 0 crossovers, and then enter the number of crossovers from the other teams to that one).

Click 'Save', then add Coaches for the team, and if you are ready to, select an open Event to register the team to. Or you can close the window, and click the 'Register' button from the 'Teams & Specialties' page at a later time. 

Step 2:

Once the Express Team is registered for an Event, on the relevant Event Entry page, you will see the team listed with the number of athletes showing in RED in the #Exp column.

You will note that the 'ADD' button under 'Members' and the 'Select' button under 'Divisions' are not clickable. 

To add the roster data for these Express Reg teams, you need to:

  • Return to the 'Teams & Specialties' page.
  • Use the '+ADD' button here to add the rostered athletes to the team. As you add athletes, it will automatically update the record in your Event Entry. If you add LESS athletes than what you entered for Express Reg, it will continue to show the RED number until the number of athletes matches.

Invoice Data when using Express Reg:

Your invoice will continue to be generated from the Express Registration data until you no longer see any RED number in the #Exp column. 

Be aware that the division will show in red on the invoice to indicate that this team is Express Reg'd and that therefore the division cannot be confirmed (as the system cannot verify athlete ages etc) and invoices generated from Express Data may not be 100% accurate due to calculation of crossovers etc potentially being incorrect.

Step 3:

Let's say your plans changed, and the team you Express Reg'd with 16 athletes, now only actually has 14 athletes. To amend this:

  • Return to the 'Teams & Specialities' page. 
  • Click on 'Edit' for the team.
  • On the form that opens, change the 'TOTAL # Athletes' field to now show the correct number, in this case 14.
  • Now, when you return to the Event Entry page, it will no longer show the red number, and you can now edit the roster athletes and division directly within the Event Entry page, and your invoice will now be calculating from the rostered athlete data. 

Important Notes & Policies:

Please be aware of the following limitations and poilcies regarding the use of Express Registration:

  • Express Reg closes on 30th September as noted at the top of this page. Express data in the system at that date will remain, but no new Express Reg teams will be able to be created. 
  • Invoices generated from Express Data may not be accurate for final entry due to calculation of crossovers etc potentially being incorrect.
  • Programmes should be aiming to update to the correct rostered athletes prior to the Early Deadline where possible, to ensure correct invoice calculation if wishing to pay at the Early Fee Rate. 
  • If you choose to pay the Express Reg generated invoice amount in order to secure the Early Fee Rate, be aware that this amount is non-refundable and non-creditable, so should your invoice amount decrease once the correct data is entered for any reason, there is no option for a refund/credit of the difference.
  • If an entry is fully paid at the Early Deadline but the programme later adds a significant number of athletes to a team(s) beyond what was originally registered, Legacy reserves the right to convert the entry for that team to the On-Time Rate to more fairly reflect when the team was correctly registered. 
  • Entries MUST be updated with the correct roster data prior to the On-Time Registration Deadline - any entries containing Express Data at this time are deemed 'incomplete' entries and will be excluded from preliminary schedules until correct data is supplied. 
  • Once the system closes to Registration at the On-Time Deadline, the entered data at that time becomes 'locked', so updates to the 'Teams' page will no longer automatically update the Event Entry data for Express Reg teams. If you do not complete your roster updates prior to the On-Time Deadline, you will need to reach out to us directly so we can update your data manually. Additional Admin Fees May Apply.
